Who we are: Solar Games Network (“SGN”, “we”, “us”) provides game-server hosting and related services. Xenolink Data Solutions (“Xenolink”) operates SGN’s underlying infrastructure as our subcontractor/sub-processor.

This Privacy Policy explains how we collect, use, disclose, and protect personal information across our website(s), storefront/client portal, control panel, and related services (collectively, the “Services”). We comply with Canada’s PIPEDA and, where applicable, provide additional disclosures/rights for the EEA/UK (GDPR) and California (CPRA). We also comply with CASL for commercial electronic messages.

1) Information We Collect

1.1 Account & billing: Name, email, billing address, country, organization (optional), tax identifiers (if applicable). Payment details are processed by our payment processors; SGN does not store full card numbers.
1.2 Service usage:  IP addresses, timestamps, authentication/activity logs, resource usage (CPU/RAM/disk), server names/IDs, and limited technical diagnostics.
1.3 Content you host: Files, mods, plugins, configurations, and logs you upload or generate while using the Services.
1.4 Support: Tickets, emails, chat transcripts, and related attachments.
1.5 Cookies & analytics: essential cookies for login/session and security; optional analytics only if/when enabled (§7).

2) Purposes (Why We Use Your Information)

    • Provide and operate the Services; set up accounts/servers; bill and collect payments (contract necessity / GDPR Art. 6(1)(b)).
      • Secure, prevent abuse/fraud, and troubleshoot; enforce AUP/TOS; protect platform integrity (legitimate interests / Art. 6(1)(f)).
      • Communicate about accounts, maintenance, incidents, and policy changes (contract/legitimate interests).
      • Improve reliability and performance (aggregated/limited analytics) (legitimate interests/consent, as applicable).  
      • Comply with legal obligations (tax, accounting, lawful requests) (Art. 6(1)(c)).
      • Marketing (optional) only with consent where required (you may opt out anytime) (Art. 6(1)(a); CASL consent).

      3) Consent

      We collect, use, and disclose personal information with your consent, which may be implied (e.g., when you order a service) or express (e.g., when you agree to this Policy). You may withdraw consent, subject to legal and contractual restrictions; doing so may limit your ability to use the Services.

      4) Children

      The Services are not for children under 13. If we learn we collected information from a child under 13, we will delete it. Users 13–17 require verifiable parental/guardian consent.

      5) Sharing & Disclosures

      We share personal information with:

      • Service providers/subprocessors — Xenolink (infrastructure), data centers, carriers, DDoS providers, payment processors, ticketing/support tools, email providers, and analytics tools—only as needed to provide the Services.

      • Legal/ safety — To comply with law, legal process, or to protect rights, property, or safety (including responding to notice‑and‑notice/DMCA).

      • Corporate events — In connection with reorganization, merger, or sale (see TOS §24).

      6) International Transfers

      Your information may be transferred to, stored, or processed in jurisdictions other than your own (including the U.S. or EU). We take steps to protect it consistent with this Policy and applicable law.

      7) Cookies & Similar Technologies

      • Strictly necessary cookies support login/session, security, and load balancing.  
      • Functional/analytics cookies (if enabled) help diagnose issues and improve performance; consent is obtained where required.  

      Browser settings let you control cookies, but essential functions may break without them.

      8) Retention

      We retain personal information as long as needed for the purposes above and to comply with legal obligations. Generally:

      • Account data: for the life of the account and up to 2 years after closure.

      • Billing/transaction records: at least 7 years (tax/audit).

      • Logs/diagnostics: typically 90 days unless required longer for security or legal reasons.

      • Server content: per TOS §13 (may be deleted after 48 hours of suspension/termination; best‑effort retention up to 7 days).

      9) Security

      We implement administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including restricted access, encryption in transit, network segmentation, and monitoring. No method of transmission or storage is completely secure.

      10) Your Choices & Rights

      • Access/Correction: You may request access to or correction of your personal information.

      • Deletion: You may request deletion, subject to legal/contractual limits and data needed to provide Services.

      • Portability/Restriction (where applicable): If you are in the EEA/UK, you may have additional rights (access, rectification, erasure, portability, restriction, and objection).

      • Marketing: We do not sell personal information. If we send marketing, you can opt out at any time.

      Requests can be sent to solargamesstaff@gmail.com with subject “Privacy Request.” We may ask for verification.

      11) Data Processing on Your Behalf (DPA)

      When you host personal data via the Services, SGN acts as a processor to you as controller. A Data Processing Agreement is available on request and, once executed, becomes part of your agreement with SGN. SGN may use Xenolink and other sub-processors to deliver the Services.

      12) Regional Information (If Applicable)

      • EEA/UK: SGN acts as controller for account/billing/support data and as processor for customer‑hosted content. You may contact your local Data Protection Authority.

      • California: We are a “service provider” for hosted content; we do not sell personal information.

        13) Breach Notification (Canada)

        We assess all security incidents. If a breach creates a real risk of significant harm, we will notify affected individuals and report to the Office of the Privacy Commissioner of Canada (OPC) as required.

        14) Third‑Party Links & Services

        Our sites or control panel may link to third‑party services. Their privacy practices are governed by their own policies.

        15) Changes to this Policy

        We may update this Policy. We will post the new version with the effective date and, for material changes, provide notice via the client area/email where practicable.
